Job Description
The Engineer – Document & Audit Management plays a vital role in supporting the Compliance Monitoring System by ensuring controlled documentation, coordinating audits, managing findings, and maintaining accurate compliance records. Reporting to the Manager - Document & Audit Management within the Aviation & Aero Engine MRO division, this position works closely with process owners to verify adherence to aviation regulations, AS9110 standards, customer requirements, and internal procedures. The role encompasses planning and executing internal audits, supporting external audit activities, and ensuring manuals and compliance documents are current, approved, accessible, and properly controlled. This position requires maintaining independence, confidentiality, and objectivity to uphold the integrity of the compliance function.
Responsibilities
- Audit Planning, Execution and Follow-up: Support the annual compliance monitoring and internal audit program; plan and conduct audits in line with approved procedures; prepare audit plans and evidence requirements; document findings and communicate results; monitor corrective actions and escalate significant issues.
- Document Governance and Control: Administer review, approval, issuance, and revision of controlled documents; ensure adherence to templates and authorization protocols; maintain master lists and document repositories; coordinate periodic document reviews and remove obsolete materials.
- Compliance Monitoring, Reporting and Risk Support: Maintain accurate audit records and compliance status; prepare reports and dashboards; analyze trends and identify systemic issues; support risk assessments and compliance investigations; assist in reporting to management.
- Process Improvement and Stakeholder Support: Implement visual management tools and standardized templates; recommend improvements to audit and document workflows; provide training and guidance on audit readiness and document control; collaborate with process owners to enhance compliance.
- Other Duties: Perform additional tasks as required to support the department and organizational objectives.
Qualifications
- Bachelor’s degree in Engineering, Aviation, Quality Management, Industrial Management, or a related discipline.
- Preferred training in Internal Auditor or Lead Auditor courses for AS9110, ISO 9001, or similar management systems.
- Additional training in aviation regulations, document control, root cause analysis, or corrective and preventive action management is advantageous.
- Minimum of 5 years’ relevant experience in aviation MRO, quality assurance, compliance monitoring, auditing, or document control.
- Experience supporting internal, regulatory, certification, customer, or supplier audits is preferred.
- Experience managing controlled manuals, procedures, findings, and corrective actions within regulated environments is a plus.
Skills
- Proficient in planning, conducting, documenting, and following up audits using objective evidence and established criteria.
- Strong working knowledge of aviation MRO regulations, AS9110 standards, and customer/internal requirements.
- Expertise in document governance including lifecycle control of manuals, procedures, forms, and records.
- Competent in findings and corrective action management, including root cause analysis and verification of closure.
- Analytical thinking skills to evaluate evidence, identify trends, and draw objective conclusions.
- Ability to assess and escalate compliance risks effectively.
- Excellent report writing skills to produce clear, concise, and defensible audit and compliance reports.
- Effective stakeholder communication skills to conduct interviews and convey findings constructively.
- Proficiency in Microsoft 365 tools for audit registers, dashboards, data analysis, and presentations.
- Strong planning and organizational abilities to manage multiple priorities, schedules, and document cycles.
- Demonstrated independence, integrity, confidentiality, impartiality, and professional judgment.
- Commitment to continuous improvement by recommending practical enhancements based on audit results and process performance.
Education
Bachelor’s degree in Engineering, Aviation, Quality Management, Industrial Management, or a closely related field is required. Additional certifications or training in auditing standards such as AS9110 or ISO 9001, as well as specialized courses in aviation regulations and document control, are preferred to enhance competency in this role.
